Data Deletion, Retention, and Privacy Requests

1. Who Should Submit the Request
If you are a BJJ Track account owner, admin, billing contact, or other person dealing directly with Lux Services LLC, you may send your request to contact@bjjtrack.com.
If you are a gym member, lead, parent, guardian, or other end user whose data was collected by a gym or business using BJJ Track, please contact that gym or business first. In most cases, that business is the party that controls your records, and BJJ Track acts on its behalf.
2. How to Request Deletion
You can request deletion or another privacy action by emailing contact@bjjtrack.com with the subject line "Privacy Request" or "Data Deletion Request". Please include enough information for us to identify the relevant account, tenant, or records and to verify your authority to make the request.
3. What Happens Next
After receiving a valid request, we may ask for identity or authority verification. If the request concerns customer-controlled data, we may refer the request to the relevant BJJ Track customer or coordinate with that customer to fulfill the request. Where BJJ Track controls the data directly, we will review the request and respond within the timeframe required by applicable law.
4. Important Retention Exceptions
Deletion is not absolute in every case. Even when a deletion request is approved, BJJ Track may retain certain records where reasonably necessary or legally required, including records relating to billing, taxes, refunds, chargebacks, disputes, security incidents, consent and opt-out evidence, fraud prevention, audit trails, legal holds, and backup restoration.
Former-customer operational data may remain in recoverable or archived form for up to approximately 180 days after account lock or cancellation before it is permanently purged or anonymized, unless an earlier purge is required by law or we agree otherwise in writing.
5. Data We May Delete or Deactivate
Depending on the request and legal context, we may delete or deactivate platform account records, websites or forms hosted by us, member and lead records controlled by a customer, communication content, AI-generated drafts, and connected integrations. Some records may instead be suppressed, archived, de-identified, or disassociated where that is the more appropriate legal or operational treatment.
